How to Create an AI-Powered Proposal

April 30, 2026 5 min read5 steps

Booth proposals usually take 2–6 hours: gathering specs, drafting copy, attaching renders, building a price sheet. Exphora's AI Proposal collapses that into a single description and a few clicks. The output is a real, editable proposal — not a black box — so you can always refine before sending.

What the AI generates

Creating the proposal

  1. 1

Open Proposals → New AI Proposal

From the CRM sidebar, click Proposals and then New AI Proposal in the top right.

  2. 2

    Describe the project

In the prompt box, describe what you know: client name, fair, booth size, vibe, must-haves. A few sentences is enough — full prose works too.

  3. 3

    Generate and review

Click Generate. AI fills in 30+ specs, drafts a 3D layout, and produces a pricing breakdown. Each section is editable — click any field to refine.

  4. 4

    Refine the design

Click Open in Designer to tweak the 3D layout. Changes flow back into the proposal automatically — including BOM and price.

  5. 5

    Send via branded portal link

Click Send. Exphora generates a branded portal link with your logo and colors. The client opens it in any browser, reviews specs and renders, and approves with one click.

Frequently asked questions

People also ask

Can I edit anything the AI generates?
Yes — every field, every spec, the narrative, the layout, and every price line is fully editable. AI is a starting draft, not a fixed output.
How long does generation take?
Typically 30–60 seconds for the proposal text and specs, plus 1–2 minutes for the 3D layout. You can keep working in another tab while it runs.
Is my proposal data used to train AI models?
No. Your proposals, prompts, and outputs are private to your workspace and are not used to train shared models.
Can the client request changes through the portal?
Yes. The portal includes a Request Revisions button that comments back into your CRM with the client's notes attached to the proposal.
What happens after the client approves?
The proposal converts to a Contract draft (with electronic signature) and an Invoice draft, both pre-filled with the agreed specs and price.
